What Is A Check-In & Check-Out?
The check-in and check-out form a two step process marking the beginning and end of a tenanacy agreement. They are used between tenant and landlord, ensuring an agreed condition of the property before moving in and moving out.
A check-in and check-out are required for every tenancy. Achieving agreement and providing signatures gives protection for all parties involved – tenants, landlords and property agents.
Property Check-In
To ensure a smooth check-in, all incoming tenants should be present at the property. This enables everything to be agreed and signed in one go and eliminates any unnecessary hassle.
Proceed throughout the inside and outside of the property with your new tenant(s). Make sure that they agree with the current state of the property and its inventory. At this point, it is recommended to inform them of what is expected during the tenancy.
Often, a checklist provides a good means of covering off everything in one visit. Work through the checklist with the tenants and make sure they are in agreement. Once reviewed and satisfied, ensure a signature is obtained signing off the inventory that has been prepared. When compiling a checklist, be sure to include important items such as:
• Meter readings (gas and/or electric and water)
• Test alarms, batteries and codes
• Ensure keys and locks (doors and windows) function correctly
• Isolar switches, fuses and stop taps
• Ensure that appliances are working correctly
Property Check-Out
When the tenancy is coming to an end a check-out is required. The landlord meets with the tenant(s) and like the check-in process, the property (inside and out) is viewed together.
A report is produced detailing the condition of the property and its contents compared to when the tenancy began. If there is damage to the property and/or missing items from the inventory, this must be recorded and supported by photo/video evidence. Taking the time to do this properly could mean the difference between a successful and failed deposit claim.
Final meter readings must be taken to provide to suppliers and close accounts for the property. The report produced during the check-out is sent to the landlord and tenant. In the case of a deposit dispute between tenant and landlord, the check-in report acts as the primary document.
